- Contact details you submit through enquiry forms, WhatsApp, email, or phone — typically name, phone number, email address, organisation, and event details.
- Event information you share with us during planning, which may include guest lists, dietary preferences, travel details, and accessibility requirements.
- Billing and statutory information required to raise invoices and comply with tax law.
- Technical information collected automatically when you browse the site, such as pages viewed, approximate location derived from IP address, browser type, and referring page.
3. How we use your information
- Responding to enquiries and preparing proposals and quotations.
- Planning, coordinating, and delivering your event, including sharing necessary details with venues and vendors.
- Invoicing, accounting, and meeting statutory record-keeping obligations.
- Sending you updates about our work where you have asked to hear from us.
- Improving the website and understanding which services visitors look for.
4. Legal basis and consent
We process personal information on the basis of your consent, to perform a contract with you, or to meet a legal obligation. Where processing relies on consent, you may withdraw it at any time by writing to us — this does not affect processing already carried out.
5. Sharing with third parties
Delivering an event requires us to share limited information with venues, caterers, hotels, transport providers, production vendors, and registration platforms. We share only what is necessary for them to perform their role.
We may also share information with professional advisors, payment processors, and authorities where required by law. We do not sell personal information.
6. Guest data supplied by clients
Where you provide us with guest information, you confirm that you have the right to share it and that guests have been informed as required. We process that information only to deliver your event and delete or return it once the engagement and any statutory retention period ends.
7. Photography and film at events
Events are frequently photographed and filmed. Unless agreed otherwise in writing, DuoDec may use event imagery in its portfolio, website, and social channels. Tell us in advance if an event or specific guests must be excluded and we will brief the crew accordingly.
8. Cookies and analytics
This website may use cookies and similar technologies to remember preferences such as light or dark theme and to understand aggregate usage. You can block or delete cookies through your browser settings; some parts of the site may then behave differently.
9. Data retention and security
We keep personal information only as long as needed for the purpose it was collected, or as long as the law requires for financial records. We apply reasonable technical and organisational measures to protect it, though no method of transmission or storage is completely secure.
